Modern Slavery Policy

1. Policy Statement

VFXLive CIC is committed to preventing acts of modern slavery and human trafficking within our
business and supply chain. We recognise our responsibility under the Modern Slavery Act 2015 and maintain a zero-tolerance approach to any form of forced labour, servitude, or exploitation. Our company operates in the UK as a CIC providing video production training and multi-camera outside broadcast services, employing freelance crew and working with specialist suppliers.

2. Our Commitment

We will:
• Ensure that everyone who works with or for VFXLive CIC does so voluntarily and under fair conditions.
• Carry out reasonable due diligence on suppliers, contractors, and freelancers.
• Include clauses in supplier and freelance agreements requiring compliance with the Modern Slavery Act 2015.
• Promote awareness of modern slavery among staff and freelancers.
• Take immediate action if we suspect any instance of forced labour, exploitation, or human trafficking in connection with our operations.

3. Employment Practices

• We work only with self-employed freelancers or contractors who have the legal right to work in the UK.
• We verify identification and right-to-work documentation before engagement.
• We ensure fair pay rates, reasonable working hours, and safe working conditions for all personnel.

4. Supply Chain and Procurement

Our supply chain includes equipment hire companies, production facilities, logistics providers, and freelance technical specialists.
When engaging new suppliers or contractors, we will:
• Assess the risk of modern slavery and human trafficking.
• Prefer reputable UK-based suppliers who demonstrate ethical practices.
• Terminate relationships with any supplier found to be in breach of this policy.

5. Reporting Concerns

Anyone who suspects a breach of this policy or the Modern Slavery Act may report their concerns confidentially to the Company Directors at VFXLive CIC. All reports will be treated seriously, investigated promptly, and handled with discretion.

6. Responsibility and Review

The Directors are responsible for implementing and reviewing this policy annually or as required by law.

Health & Safety Policy

1. Policy Statement

VFXLive CIC is committed to ensuring the health, safety, and welfare of everyone involved in our productions — including employees, freelance operators, contractors, clients, and members of the public who may be affected by our work. We comply fully with the Health and Safety at Work etc. Act 1974 and all relevant UK legislation.

2. Our Commitment

All recruitment and freelance engagement decisions will be based on competence, experience, and suitability for the role.• Job and project advertisements will be written in a way that encourages applications from diverse backgrounds.• Reasonable adjustments will be made to accommodate individuals with disabilities at any stage of employment or freelance engagement.

3. Responsibilities

• Company Directors are responsible for implementing this policy and ensuring compliance.
• Freelance Operators and Crew are responsible for following safety procedures, using equipment correctly, and reporting hazards or incidents immediately.
• Clients and Venues are expected to cooperate with our safety requirements and provide relevant information about site-specific risks.

4. Risk Management

Before any shoot or event:
• A risk assessment will be completed and reviewed by production management.
• Site safety briefings will be held to cover local hazards, emergency exits, and safe working areas.
• Appropriate personal protective equipment (PPE) will be supplied and worn where required.
• Manual handling, electrical safety, and working-at-height guidance will be followed as necessary.

5. Incident Reporting

All accidents, near-misses, or unsafe conditions must be reported immediately to the Production Manager or designated Health & Safety Officer. Serious incidents will be recorded in the company’s Accident Log and investigated to prevent recurrence.

6. First Aid & Emergencies

A qualified First Aider, first-aid kit and AED will be available on all shoots. All crew will be informed of emergency procedures and nearest medical facilities at each location.

7. Review

This policy will be reviewed annually, or sooner if there are significant operational or legal changes.

Any individual who believes they have been treated unfairly may raise the matter with the Company Directors. Complaints will be investigated confidentially and resolved fairly. Retaliation against anyone who raises a concern in good faith will not be tolerated.

6. Review and Responsibility

This policy is overseen by the Directors of VFXLive CIC and reviewed annually or whenever there are changes to legislation or company operations. The principles of this policy apply to all employees, freelancers, clients, and suppliers associated with VFXLive CIC.
